Code Of Conduct

Collector Con is committed to creating a safe, respectful, inclusive, and community-focused environment for all attendees, vendors, artists, guests, exhibitors, volunteers, staff, contractors, sponsors, performers, and participants.
By attending Collector Con, all participants agree to follow these Rules & Code of Conduct, comply with event staff directions, venue requirements, and safety procedures, and conduct themselves responsibly while on event grounds

1. Respect & Community Conduct

All attendees are expected to treat fellow attendees, vendors, artists, guests, exhibitors, cosplayers, performers, volunteers, staff, contractors, accessibility support workers, venue staff, and the surrounding community with respect.

 

Collector Con is committed to fostering an accessible, inclusive, family-friendly, and welcoming environment for all participants. Participants are expected to respect the Collector Con Accessibility & Inclusion Policy and help contribute to a safe and supportive experience for everyone.

 

Harassment, intimidation, discrimination, stalking, bullying, threats, aggressive behaviour, mistreatment, or abusive conduct of any kind will not be tolerated.

 

Respect personal boundaries, consent, accessibility needs, and shared public spaces at all times.

 

2. Staff, Volunteers & Guest Respect

Collector Con staff, volunteers, guests, artists, exhibitors, judges, performers, and vendors dedicate significant time and effort toward creating a safe and enjoyable experience.

 

Attendees must follow reasonable instructions provided by event staff, venue personnel, security, medical personnel, accessibility staff, traffic control, and emergency responders.

 

Verbal abuse, threats, harassment, intimidation, or aggressive behaviour toward event workers, volunteers, vendors, guests, or attendees may result in immediate removal from the event without refund.

 

3. Security Checks

All attendees, bags, costumes, props, merchandise, and personal belongings may be subject to security screening or inspection upon entry or at any time while on event grounds.

 

Refusal to comply with security procedures may result in denied entry or removal from the event.

 

4. Banned, Prohibited & Restricted Items

The following items are prohibited unless specifically authorized in writing by Collector Con or the venue:

  • Real weapons or dangerous objects

  • Functional firearms or ammunition

  • Explosives, fireworks, flares, or incendiary devices

  • Illegal substances

  • Alcohol unless specifically permitted by Collector Con or the venue

  • Glass containers

  • Laser pointers

  • Hazardous materials or chemicals

  • Unauthorized drones or remote-controlled aircraft

  • Unauthorized vending materials or promotional distribution

  • Props or costume items deemed unsafe by event staff or security

  • Any item considered dangerous, disruptive, or inappropriate by event staff

 

Prop weapons and cosplay accessories may be subject to inspection and approval by security staff. Collector Con reserves the right to deny any prop, costume, or item deemed unsafe.

 

Prohibited items may be confiscated and may not be returned.

 

5. Cosplay, Costumes & Props

Cosplay and costumes are encouraged; however, all costumes and props must remain appropriate for a public, all-ages environment unless otherwise specified for designated programming.

 

Costumes, props, or behaviour that obstruct walkways, create safety hazards, imitate emergency personnel, contain offensive or hateful imagery, or interfere with the comfort and safety of others are prohibited.

 

Attendees may be asked to modify or remove unsafe costume elements or props. Disregarding the Costume & Prop Policy may result in removal from the event.

 

6. Photography, Filming & Consent

Personal photography and video are welcome. Attendees are encouraged to seek consent before photographing or recording others in close, private, or sensitive situations.

 

Cosplayers, guests, vendors, artists, and attendees have the right to decline photos or recordings.

 

Professional photography, commercial filming, livestreaming, media coverage, drone use, or promotional recording requires prior written approval and proper media credentials.

 

By attending Collector Con, attendees acknowledge that they may appear in photographs, videos, livestreams, or promotional materials captured during the event.

 

7. Vendor, Artist & Exhibitor Conduct

Vendors, artists, exhibitors, sponsors, and promotional teams must remain within their assigned spaces and comply with all event agreements, venue rules, licensing requirements, and staff instructions.

 

Unauthorized vending, solicitation, flyering, product promotion, or sales activity outside approved spaces is prohibited.

 

Counterfeit, illegal, stolen, offensive, discriminatory, or prohibited merchandise may not be sold or displayed.

 

8. Accessibility & Inclusion

Collector Con is committed to improving accessibility and inclusion wherever reasonably possible.

 

Participants are expected to respect accessibility accommodations, accessibility staff, mobility equipment, service animals, sensory needs, and shared public access spaces.

 

Discrimination, harassment, or interference with accessibility accommodations will not be tolerated. Please see the Collector Con Accessibility & Inclusion Policy for additional information regarding accommodations, accessibility services, communication options, and inclusion practices.

 

9. Smoking, Vaping & Venue Compliance

Smoking or vaping is permitted only in designated smoking areas where allowed by the venue.

 

Attendees must comply with all posted venue signage, venue regulations, fire safety requirements, occupancy restrictions, and operational instructions.

 

Failure to comply with venue rules, posted signage, or event safety requirements may result in removal from the event.

 

10. Restricted Areas

Attendees may not enter backstage, guest-only, vendor-only, staff-only, production, emergency, green room, storage, or otherwise restricted areas without proper authorization or credentials.

 

Unauthorized access to restricted areas may result in immediate removal from the event.

 

11. Illegal Activity

Illegal activity of any kind is strictly prohibited.

 

This includes theft, fraud, trafficking or sale of illegal substances, vandalism, assault, harassment, counterfeit sales, unauthorized recording, or any activity violating applicable laws or venue regulations.

 

Law enforcement may be notified where appropriate.

 

12. Health, Safety & Emergency Procedures

Attendees must comply with all posted safety signage, emergency procedures, evacuation instructions, and staff directions.

 

If you witness a medical emergency, safety concern, suspicious activity, harassment, or dangerous behaviour, notify event staff, security, or emergency personnel immediately.

 

If you feel your safety or the safety of others may be at risk, please report concerns directly to on-site event staff or security personnel immediately.

 

13. Grounds for Removal

Any individual who violates this Code of Conduct may be immediately removed from the convention grounds, have their access privileges revoked without refund, and/or be reported to law enforcement where appropriate.

 

The following behaviour may result in warnings, confiscation of credentials, removal from event grounds, denial of re-entry, cancellation of vendor privileges, and/or notification of law enforcement:

  • Possession of prohibited items

  • Violence or threatening behaviour

  • Harassment, discrimination, stalking, bullying, or mistreatment of attendees, guests, vendors, exhibitors, volunteers, or staff

  • Offensive or abusive language

  • Obscene or offensive gestures, symbols, banners, signs, or imagery

  • Harmful behaviour toward oneself or others

  • Theft, fraud, vandalism, or property damage

  • Unauthorized entry or credential misuse

  • Unsafe cosplay props, disregard for the Costume & Prop Policy, or dangerous conduct

  • Ignoring event staff instructions

  • Unauthorized vending or solicitation

  • Smoking or vaping outside designated smoking areas

  • Disregarding venue rules or posted signage

  • Creating fire or safety hazards

  • Disruptive behaviour negatively affecting attendees or operations

  • Illegal activity or violation of venue rules

 

Collector Con reserves the right to remove any individual whose behaviour negatively impacts the safety, comfort, operations, or experience of others.

Contacting Collector Con does not replace contacting emergency services or law enforcement where immediate assistance is required.

Liability Policy

Waiver and Release of Liability for Collector Con

(An Event Organized by True Sound Charity Association)

1. BACKGROUND
By attending this event, I (the attendee(s)) (the “Releasor(s)”) hereby execute this Waiver and agree to release True Sound Charity Association, operating as Collector Con (the “Releasee”), as set out below:
2. NATURE OF ACTIVITY
I, the Releasor, wish to participate in the activity described on the Collector Con Event Page within collectorcon.ca, taking place on the dates specified therein, and acknowledge that I am of the legal age required to do so.

3.WAIVER
I, the Releasor, hereby waive, release and discharge the Releasee (who runs / owns / operates this activity) and his or her heirs, legal representatives, administrators, and executors for all liability for or by reason of any damage, loss or injury (including death) to myself or my property which has been or may be sustained as a result of my participation in the activity, and notwithstanding that such damage, loss or injury may have been
caused solely or partly by the Releasee’s negligence.
4. ACKNOWLEDGEMENT
I, the Releasor, hereby acknowledge the following:
A. I have read this Release thoroughly and I fully understand it.
B. I agree that my image may be captured and used in any and all media without my consent and without any compensation, and I release Collector Con from any liability on account of such usage.
C. I am voluntarily executing this Release, and would not otherwise be permitted to participate in this activity.
D. This Release restricts me from suing or otherwise claiming against the Releasee, presently or at any future time, for damage, loss, or injury that may occur to myself or my property as a result of participating in this activity.
E. If I, the Releasor, violates the Code of Conduct, I may be IMMEDIATELY removed from the
convention grounds and have access privileges revoked, without refund. Law enforcement may be notified.
F. I have been granted the opportunity to seek independent legal advice before executing this Release.
G. Near the stage, during programming, live streaming may occur. These sections will be clearly marked.
By entering these sections, I, the Releasor, consent to being on a live stream broadcast.
H. This waiver and any associated ticket, entry, or participation privileges may not be assigned, transferred, or resold except in accordance with the policies set by True Sound Charity Association, operating as Collector Con (the “Releasee”). Where a ticket or entry is transferred or used by another individual, the Releasor is responsible for ensuring that such individual is made aware of and agrees to the terms of this waiver. Failure to do so does not nullify this waiver, and the Releasor remains responsible for any actions or omissions arising from such transfer. The Releasee reserves the right to
revoke entry or participation immediately, without compensation, in the event of any unauthorized transfer, misuse, or violation of event policies, and this waiver shall remain in full force and effect.

5. TO:
True Sound Charity Association, and their respective directors, officers, employees, instructors, guides, agents, representatives, independent contractors, subcontractors, suppliers, hosts, volunteers, successors and assigns (all of whom are herein referred to as “Releasees”).
